eMailMerge 4Outlook allows you to accomplish this daunting task with a few simple clicks of the mouse. Once you have installed eMailMerge 4Outlook, all you need to do is ...

Step 1: Create Your E-mail

Use Outlook to create a New E-mail. When the new e-mail is opened, you will see a toolbar for eMailMerge as below:



Type the email message that you want to send to various contacts.



Insert "m-Fields" in your email where you want names etc to appear. "m-Fields" are placeholders for where the Contact's real information will be inserted by the wizard.

Step 2: Let eMailMerge take your one e-mail and create personalized copies for your list of friends.

eMailMerge will take the e-mail you created and e-mail personalized copies to your chosen friends with a simple Wizard.
What do YOU have to do?

Run the Email Merge Wizard.

That's it!

The steps are shown in more detail (with pictures of the eMailMerge screens) below.

Introduction

Just Click Next on this first screen.
This first screen tells you what eMailMerge 4Outlook allows you to do.

Select your Contacts Source

This step allows you to choose your contacts source. eMailMerge 4Outlook (std) provides you with 2 choices from where you can select your contacts from.

Where are your Contacts?

Here you can select specific Folders/Lists/Sheets/Tables from where you want to load the contacts from. Depending on your choice in the previous step, the screen shown below will change.


 

Who do you want to send this e-mail to?

A list of all your contacts will be shown in the list on the left. Use the screen to quickly pick the people you want to send the e-mail to.

To select a person, simply double-click his name to move him from the list on the left to the list on the right.

You can even use Categories to select your contacts.

Once you have selected all the people you want to send the e-mail to (their names will be in the right-hand list), click Next

Do you want to save this list of contacts to use again?

The Wizard can save a list of your chosen Contacts as a category. Then the next time you want to send an e-mail to the same list of people, you can choose the Category instead of needing to select each contact individually.

What if some contact information is missing?

When creating your e-mail to do the merge, you may have inserted several fields. Now what if the contacts that you have selected may not have the required information in these fields. Or you may want to have some special CASE being applied while replacing the field values. You can use this step to specify this.


What would you like to do?

On this step, you can specify how you want to create the e-mails? Whether you want to personalize them or not? Whether you want to create the e-mail and save them in Outbox (ready for sending) or save them in your Drafts folder (where you can view/edit them later before sending).

Who is the sender of the e-mails?

 

Click Finish to let the wizard complete.

After you have successfully completed, you will see that separate emails for each of the recipients that you selected have been created in your Outbox or Drafts folder. These emails contain the message that you typed in together with the "m-Fields" being replaced by the actual details of each of the separate recipients.
