How we use Contacts Mailer everyday
These are a few examples of how we
use Contacts Mailer for our work everyday.
Contacts Mailer lets us write better e-mails in much LESS TIME.
Pre-Addressed E-mails
We look after website for several clients. When there is a
problem with hosting I write e-mails to the ISP and CC copies to key
contacts at the client firm. How does Contacts Mailer help with
this?
I have created a template with
the appropriate Subject, To names, CC Names and Message body. My
standard message text is similar to the following.
We are currently hosting the
site www.addins4outlook.com
with you. We discovered the following problem on the site today.
[Description]
Can you please correct this
problem and advise us to:
1. Why this problem occured
2. Is there anything that we can do to prevent this is the
future.

All I need to do when there is a
problem is create a new e-mail using this template (5 second as
opposed to 30 seconds) and change the description of the problem
Quickly answer standard
questions from customers (A better solution to cut and paste)
During the course of a day many of my e-mails require standard
replies. Answering these questions is now extremely easy.
I have created a number of
standard text templates in the InsertText part of Contacts Mailer.
When I receive a question, I
click Reply and then InsertText from the Contacts Mailer toolbar.
Choose th standard reply from the
list and I'm done.
This used to be a time consuming
process when I had to search for old replies and then cut and paste
text.
Manage Categories (lists) of Contacts
I need to group my contacts into categories (lists) so that it
is easier to communicate with them. Contacts Mailer has an extremely
easy-to-use user screen that lets me quickly create and maintain these
lists.
Click Categories from the
Contacts Mailer toolbar to use this feature.
Sending personlized copies of an
e-mail to several contacts
Once a month I e-mail a close group of friends to let them know
about our life in Fiji.
I have created a Category called
"Family Newsletter" to identify friends who get a copy
of my newsletter. The easiest way to do this is to choose
Categories from the Contacts Mailer menu and then selecting
contacts for the list.
I have created a template with
the appropriate Subject, To names, CC Names and Message body. My
standard message text is similar to the following.
Hi [FirstName]
[Text for this E-mail]

I create a new e-mail based on
this template and write the body of the e-mail.
I then choose Recipients from the
Contacts Mailer toolbar and choose Family Newsletter from the
Categories list. (Click To to add names to the To list)
Finally I click Send Personal to
send personalized copies of the e-mails to all my friends.
Quickly choose a group of
recipients for an e-mail.
Who can spend a day at the computer without receiving jokes. I
forward the better jokes to a close group of friends. I do not
need to personalize each person's copy of the e-mail. I just need a
quick way of choosing all the names.
I have created a Category called
Jokes and assigned the chosen recipeints to this. The easiest way
to do this is to choose Categories from the Contacts Mailer menu
and then selecting contacts for the list.
When I receive a good joke, I
click forward and choose the Jokes category after clicking
Recipients on the toolbar.
